Cancellation Policy and Trip Insurance
Cancellation Policy
We understand that plans can change, sometimes unexpectedly. Our cancellation and refund policies are designed to be as clear and consistent as possible while accounting for the significant planning and advance costs involved in operating our trips. Please review the information below carefully before registering.
Alpine Ascents International highly recommends trip cancellation insurance for all programs. Due to the nature and heavy costs of government and operator permits, Alpine Ascents International must adhere to a stringent refund policy.
Each deposit, regardless of amount, includes a $300.00 non-refundable registration fee.
- Full refunds, less registration fee, will be provided 120 days prior to course start date.
- 50% refunds, less registration fee, will be provided 90-119 days prior to course start date.
- No refunds will be provided 89 or fewer days prior to course start date.
- All cancellations/refund requests must be made via email to our office within the deadlines stated above.
- If Alpine Ascents cancels or reschedules a program (prior to the start of the trip) all fees are refundable and/or transferable.
Please note that certain expeditions, including Everest, Vinson, Denali, and Carstensz, have separate cancellation policies. Please refer to the specific trip page for cancellation and refund details.

Types of Trip Insurance & Evacuation Services
As there are many unforeseen circumstances that may occur during or leading up to the trip, including trip interruption or postponement, we highly recommend trip insurance and evacuation services.
Comprehensive Trip Cancellation Insurance: Comprehensive trip cancellation insurance allows you to apply for reimbursement in the event of a cancellation beyond the refund period from Alpine Ascents. Trip cancellation insurance allows you to apply for reimbursement in the event of a cancellation beyond the refund period from Alpine Ascents. Trip Insurance may also cover interruptions or when extreme circumstances prevent trip services from being provided. Comprehensive trip Insurance is almost always inclusive of Evacuation Services/Medical Services ( required for some of our expeditions). Cancellation refunds are generally only awarded for injury, illness, or death in the family and not for work related issues.
Evacuation Service: Evacuation Service, can be purchased separately but generally a part of a Comprehensive Trip Cancellation Insurance policy. Evacuation service, once approved by the insurance agency they will assist and provide rescue and medical service (maximum amounts vary). Please note this is not insurance as these services are not reimbursable (unlike Comprehensive Insurance) and all services are provided by the insurance company and initiated in the field.
Alpine Ascents recommends these companies.
Ripcord is generally best for Comprehensive Insurance with Evacuation Services included in policy. We recommend the Comprehensive Travel Insurance Policy; this includes both Trip Cancellation and Trip Interruption. Evacuation Services may not be available for Nepal, but comprehensive travel insurance is available. Please note, that you may need to purchase policy within 15 days of registering for a trip.
Global Rescue is a leader in Evacuation Services and offers an annual membership, which is excellent for those traveling more than once a year (with Alpine Ascents or otherwise). Note: This policy does not meet the requirements for our Mount Vinson expeditions.
Please refer to the policy for specific details, Alpine Ascents is not the insurance offeror. The determination of whether an insurance company will pay for services or lost services is made after the climber/trekker/traveler submits a claim form which will be reviewed by the insurance underwriter.
